Systems for horse sales barns

A sale barn runs on horses for sale and the buyers who want to see them: the listing, the videos, the trial ride, the vet check, the deposit and the papers. Front Office gives you a website, a customer list, booking and invoices with online payments, set up from a horse sales barn template.

What we hear

The week, as it runs today

Barns that sell their own horses or take them on consignment often describe some of these. Discovery is where we find out which ones are yours.

  • The same questions about the same horse answered by text, email and phone, one buyer at a time.
  • Videos, show records and vet reports spread across phones, cloud folders and old posts.
  • Trial rides booked in a notebook, with no list of who rode which horse and what they thought.
  • Deposits taken by card or check with the terms in an email nobody can find later.
  • Consigned horses with board, training and commission worked out by hand when the horse sells.
  • Sold horses still listed online because the website is updated last.

Operations: a project we set up with you

What we would set up

The pieces we would look at first, and how each is usually built. The labels matter: standard features cost less to run and upgrade than custom work.

  • Native Built into the standard software
  • Configuration Set up, no code
  • Custom Development we build
  • Integration Connects another system
  • Exploratory Needs validation first
  • Every sale horse on one record

Each horse with its price, its videos, its show and health records and its papers. Standard business software has no record for a horse, so this part is built.

    Custom
  • Listings that follow the record

The horses for sale on your website come from the same records, so a horse marked sold leaves the page the same day.

    NativeCustom
  • Trial rides booked per horse

Buyers book a time to see and ride a horse, with the waiver signed first and a note of how the ride went afterwards.

    NativeConfiguration
  • Deposits and sale agreements

A deposit taken online against the horse, with the agreement signed and the balance due on the dates you set.

    NativeConfiguration
  • Consignment statements

Board, training and the commission you agreed counted for each consigned horse, on one statement for its owner when it sells.

    NativeCustom
  • Buyer follow-up

Every inquiry on one list with the horse it was about, so a buyer who missed one horse hears about the next one that fits.

One example

One horse, from the listing to the sale

  1. Listed

The horse gets its record with the price, videos and papers, and its listing goes up on your website.

  2. Asked about

A buyer asks about the horse. The question lands on one list with the horse it is about.

  3. Tried

The buyer books a trial ride, signs the waiver first, and the ride is noted on the horse's record.

  4. Vetted and deposited

The buyer's vet does the pre-purchase exam, and the deposit holds the horse while the agreement is signed.

  5. Sold and settled

The balance is paid, the listing comes down, and a consigned horse's owner gets the statement.

A horse's soundness and value are for the buyer's veterinarian, the buyer and you to judge. The system keeps the records, the bookings, the agreements and the money.
