Systems for trail rides and riding experiences

Rides sell by the seat, depend on the weather, and need every rider named and cleared before anyone gets on a horse. We connect booking, waivers, capacity and the day's roster, so the morning starts with a list instead of a scramble.

What we hear

The week, as it runs today

Ride operations tend to describe the same pressure points. Discovery is where we find out which ones are yours.

  • A group of six booked under one name, with five riders nobody has details for.
  • Waivers chased at check-in while the horses wait.
  • Weather cancellations rebooked one phone call at a time.
  • The day's roster rebuilt by hand every morning.
  • Group and corporate inquiries answered late, or not at all.
  • Gift cards and promotions tracked in a spreadsheet.

What we would set up

What we would look at, and how each piece is usually built. The labels matter: standard features cost less to run and upgrade than custom work.

  • Native Built into the standard software
  • Configuration Set up, no code
  • Custom Development we build
  • Integration Connects another system
  • Exploratory Needs validation first
  • Booking by the seat

Rides and experiences sold online with seat limits that match the horses and guides you have.

  • Every rider named

The booker adds each rider; each rider gets their own waiver, with a guardian for a child.

    Custom
  • A morning roster

The day's rides, riders, horses and anything still missing, sent to staff before the first ride.

    Custom
  • Weather changes in one move

Move or cancel a ride and every booking on it is told, with a link to choose a new time.

    Configuration
  • Groups and corporate inquiries

Inquiries in one pipeline with an owner, a follow-up date and a quote.

    Native
  • Gift cards and promotions

Gift cards and codes issued, redeemed and reported in the same system.

If you also host overnight guests, see systems for guest ranches: stays, cabins, meals and packages around the rides.

One example

One ride, start to finish

  1. Seats booked

The booker picks a ride; the seats are held.

  2. Riders added

Each rider is named, with what your safety policy asks for.

  3. Waivers signed

Each rider signs, or a guardian signs; paper at check-in is recorded too.

  4. Roster at dawn

Staff get the day's list, with anyone not yet cleared marked.

  5. Follow-up

After the ride, a thank-you and an invitation to come back.

Ocean View Stables, Zachary's own business, runs its rides on much the same flow. Weight limits and safety rules are your policy: the system records them and shows who meets them, and a person decides.
