Systems for barns, lesson programs, trail rides, farriers and vets

Board is billed by the month, lessons run by the week and rides sell by the seat, and the farrier and the vet work horse by horse, barn by barn. We connect riders, owners, horses, the schedule and the money, so the barn, the trail, the truck and the office work from one record.

Walk through a barn

Pick a place to see what we set up there

A model of a typical operation, not a client's. Pick a place to see what we set up there and how its work reaches the rest of the operation.

A model of a typical horse operation: riders' and owners' homes, a barn with an arena and a lesson going round, turnout with grazing horses, a trail with a string of riders, and an office, each joined by a path to one system in the middle.
  • Riders and owners

Calls, texts and website visits land in one place, answered even when everyone is in the barn.

    • Online lesson and ride booking
    • An AI receptionist for the calls you cannot take
    • A waiver for every rider, signed before the first ride
    • Bookings and statements in each family's own portal
  • Barn and arena

The day's lessons, horses and care on one schedule everyone can see.

    • Lessons, camps and clinics with instructors, horses and arena time
    • Horse records, feed changes and farrier visits
    • Board billed with its extras
    • Care checklists on a phone in the barn
  • Turnout and trails

Who goes out where, which horses go on which ride, and what changed since this morning.

    • Turnout as a daily task, assigned and checked off
    • The morning string: each ride's riders and horses
    • Weather changes sent to every rider at once
    • Every rider named and cleared before the ride
  • Office

The money follows the work, so month end is a check instead of a rebuild.

    • Board and lessons invoiced on schedule
    • Deposits, payments and gift cards
    • Feed and supply orders matched to bills
    • Reports by program: board, lessons and rides

What we look at in discovery

Themes to test against your barn, not assumptions about it. Filter by the kind of operation or by how each piece is usually built: the difference between a standard feature and custom work matters to cost, risk and upgrades.

  • Native Built into the standard software
  • Configuration Set up, no code

Kind of operation
How it is usually built

  • Boarding and recurring service billing

Monthly board, add-on services such as blanketing or turnout, and one-off charges on the same statement, without rebuilding invoices by hand.

    NativeConfiguration
  • Lessons, camps, clinics and program scheduling

Online booking with capacity limits, instructors and horses as resources, reminders, and waitlists where they make sense.

    NativeConfiguration
  • Lesson progress for each rider

What each rider has worked on and signed off, kept on their record and shared with the family. Levels built around your own program take custom work.

    ConfigurationCustom
  • Customer and student records

One record per family, rider and owner, with history and a portal for their own bookings, documents and invoices.

    NativeConfiguration
  • Horse records and service history

Standard business software has no horse record. Horse profiles, ownership, care and service history are built as custom records, or connected to specialist horse software you already use.

    CustomIntegration
  • Documents and waivers

Boarding agreements and release forms signed and filed against the right booking. One waiver per rider, rather than one per booking, takes custom work.

    NativeCustom
  • Seats by the ride

Rides sold online with seat limits that match the horses and guides you have, so a ride never sells more seats than it has horses.

    NativeConfiguration
  • Every rider named and cleared

The booker adds each rider, and each rider signs their own waiver, with a guardian for a child. Standard booking only knows the booker, so this is custom work.

    Custom
  • The morning string

The day's rides, riders and horses on one list before the first ride, with anyone not yet cleared marked. Built as custom work; which horse each rider gets stays your wrangler's call.

    Custom
  • Weather changes in one move

Move or cancel a ride or a lesson and everyone booked on it is told, with a link to choose a new time.

    Configuration
  • Groups, gift cards and promotions

Group and corporate inquiries followed up with a quote; gift cards and codes issued, redeemed and reported in the same system.

    NativeConfiguration
  • Staff tasks and care checklists

Feeding, turnout, cleaning and maintenance as recurring tasks, each with the person responsible and a due time, on a phone in the barn.

    NativeConfiguration
  • Rounds and farm calls

Visits grouped by barn and put in driving order, with each horse's history on a phone at every stop. Route optimization is a connected service.

    NativeIntegration
  • Due dates by horse

Shoeing cycles, shots, dental work and rechecks worked out for each horse, with a reminder to the owner or the barn manager. Dates kept per horse take custom work.

    ConfigurationCustom
  • Charges at the barn, split by owner

Work and supplies added on a phone before the truck leaves, and one barn visit billed to each horse's owner. Splitting a visit by horse is custom work.

    NativeCustom
  • The practice software stays

Exam notes, treatments and lab results stay in your veterinary practice software. The schedule, the reminders and the billing connect to it where it allows, checked before anyone relies on it.

    Integration
  • Inquiries, calls and follow-up

Website forms, email and calls in one pipeline, with a person responsible for every follow-up. A voice assistant is an integration we build and keep in bounds.

    NativeIntegration

Nothing in this list matches both filters. Choose All in one of them.

Systems record, schedule and remind. Decisions about a horse's health, welfare and training stay with your veterinarian, farrier, trainer and the owner. What a waiver says is decided by your attorney and your insurer.

Follow one call through the system

A parent calls a lesson barn after hours about lessons for a ten-year-old. It plays by itself, or you can step through it.

Sample scenario with sample data

A lesson inquiry after hours

It is 7:40 in the evening. A parent calls about lessons for a ten-year-old. Nobody is in the office, and the lesson coordinator is putting horses away.

Assistant: Thanks for calling. This is the barn's automated assistant. The team has gone home for the night, but I can answer questions about lessons or take a message. How can I help?

Parent: My daughter is ten and wants to learn to ride. Do you teach beginners?

Assistant: We do. Beginners start in a weekly group lesson on a quiet school horse. Which days suit you best?

Parent: Saturday mornings.

Assistant: And how should we reply to you?

Parent: Text me, then email.

Add-ons and customizations

Make it yours

Every barn, lesson program, trail ride, farrier and vet starts from what works for that kind of operation. Switch on what you need now, add more as you grow, and have us build what no standard feature covers.

  • Courses and memberships

Lesson packages, member programs and online horsemanship courses, billed on schedule.

    NativeConfiguration
  • Your own app for riders and owners

Your name and logo on an app where riders open their courses, your community and your updates.

    NativeConfiguration
  • Website chat that knows its limits

Answers questions on your site from what you approve and says it is automated. A horse's health, a rider's safety and money go to a person.

    NativeConfiguration
  • Text-to-pay

Board, lessons or a farm call invoiced by text and paid from a phone.

    Native
  • Review requests

After a lesson, a ride or a visit, every customer gets the same request for a review.

Where Kavalo started

Built and run first in a working barn

Zachary Leyden owns and runs Ocean View Stables and Leyden Horsemanship. Online booking, a waiver for every rider, the staff board at six every morning, lesson progress and an AI phone receptionist were built there first.

They are his own businesses, where our methods were tested, not clients we cite. No results from them are offered as a client outcome.

Forward deployed engineering

Where an engineer would start

An engineer from Kavalo works beside your team, on site and remotely, and ships changes every week. In a barn, the first days usually look like this.

  1. Days 1 and 2

    Stand in the busiest hour

The morning feed and turnout, then the front desk before lessons. Every hand-off written down as it happens.

  2. Week 1

    One map, one first fix

A one-page map from first call to paid invoice, and one change your team uses that week, such as bookings that update the lesson schedule on their own.

  3. Week 2 onward

    Build, test, hand over

Each week a written plan, changes tested on a copy first, and a Friday note: what shipped, what is next, what needs your decision.
