Software for custom hire and farm supply businesses, compared

A custom spraying or harvest business bills by the acre from records made in the cab; a farm supply store runs charge accounts and delivery runs. Here is how eight tools handle each, and the gap between them.

In short

  • For custom work billed from field records, Traction Ag, Agworld and FarmQA are built around fields, acres and application records.
  • For a farm supply store, MicroBiz describes charge accounts with credit limits and deliveries; Agvance and Greenstone are full ERPs for larger retailers.
  • Jobber is strong at quote, schedule, invoice and payment, but nothing on its pricing page covers acres, fields or chemicals.

Two businesses, one problem

On AgTalk, custom operators describe the same week: records in notebooks in the machines, coverage maps on the display, and invoices typed up at night. One wrote that with so much manual entry it would soon take too long. A farm supply store has a different version: farmers on monthly charge accounts, tax-exempt sales, a delivery run, and someone reconciling it all. The software below splits along that line.

Notes on each

Traction Ag

Farm accounting that builds custom-work invoices from field records, with per-acre line items and automatic invoices on its Pro plan. It positions itself as a QuickBooks replacement and does not track livestock.

Agworld

Farm records and agronomy with compliant application records, a spray diary, work orders and an applicator app that works offline. Plans are named but not priced on its page; the trial is 7 days.

FarmQA

Agronomy for advisors and retailers: spray work orders, application logs and dispatch teams with live tracking. Priced per user and role, billed yearly.

Jobber

A general field service tool, quote to payment, with scheduling, routing and a QuickBooks sync on its Connect plan and up. Built as a general service tool, so fields and acres are not part of it.

Agvance

Full ERP for ag retailers and co-ops, with a dispatch module that links tender drivers to applicators and a grower app showing balances. Price on request; sized for larger operations.

Greenstone

Ag retail and grain ERP with credit limits, prepay and a grower portal for invoices, statements and online payment. Price on request.

MicroBiz

Retail point of sale with a feed and farm store setup: charge accounts with credit limits, terms and statements, ag tax exemptions, bulk sales by weight, custom feed mixes and a delivery scheduler.

Square

A low-cost store point of sale with low-stock alerts and purchase orders on its Plus plan. Charge accounts on terms are limited to an invoice field.

How to choose

  1. Bill the way you price. If you price by the acre, the record from the cab should become the invoice line without retyping. Ask to see one job go from the display to the invoice.
  2. Keep the compliance record in one place. Application records belong with the job, not in a separate notebook.
  3. Size it honestly. A two-rig operation does not need a co-op ERP; a store with 400 charge accounts outgrows a café point of sale.
  4. Ask your accountant whether you keep QuickBooks or replace it.

Where Kavalo fits

Every tool here starts once a job is booked. The calls, texts and quote requests that come in while the crew is in the field are left out, and at harvest that is most of the day. Kavalo Front Office handles them: every call, text and form in one customer list, a text back to every missed call, quote and job reminders, invoices with text-to-pay and online payments; AI Ranch Hand answers the phone and takes the details of a job. Work orders with hours, acres and loads, spray records, machine service, parts and supply stock and delivery runs are not part of Front Office; White Glove sets those up in one connected system with the customer side.

Questions people ask

Should I bill custom combining by the hour or the acre?

Both are common. Some customers only want to pay by the acre or the bushel; per-acre billing needs the acres recorded per field, which the agronomy tools above do.

Can I invoice from my tablet in the field?

Traction Ag, Agworld, FarmQA and Jobber run on phones and tablets; Agworld says its app works offline.

Can farmers run a monthly charge account?

MicroBiz describes credit limits, terms, statements and aging; Greenstone and Agvance describe credit and prepay for larger retailers.

Does it handle ag tax exemptions?

MicroBiz says it supports ag sales tax exemptions. For the others, ask, and confirm the rules for your state.

Will it pull records from my display?

Traction Ag says field records come in from John Deere Operations Center or Climate FieldView; Agworld lists machinery integrations on its Pro plan.
